The rules are settled. The rates are not, and we will not guess at them.

This page sets out the categories the fee schedule will use, what a registration is intended to cover, and the rules that decide whether your paper reaches IEEE Xplore. Amounts are published separately, in Jordanian dinars, in good time before the author registration deadline on 5 April 2027.

Every table on this page shows the categories the schedule will use. The amounts are blank because the organising committee has not set them. Nothing here is a quotation, and nothing here should be used as one.

Rates are being finalised

No fee has been approved or published for IEEE SEA 2027. The tables below are an indicative structure only — the categories, bands and add-ons the schedule is expected to contain. Rates will be published on this page in Jordanian dinars in good time before the author registration deadline on 5 April 2027. Until then, budget from comparable regional IEEE conferences, not from this page.

Author registration

Required for every accepted paper. At least one author must hold a full author registration for the paper to be presented, published and submitted to IEEE Xplore.

Group registration

A reduced rate for delegations registering together from one institution is intended. The minimum number of delegates and the size of the reduction have not been set.

If you expect to bring four or more people from one department, write to info@ieeesea.net with the number of delegates and we will confirm the arrangement once the rates are approved.

Currency

Rates will be published in Jordanian dinars (JOD). The Jordanian dinar has been pegged to the US dollar since 1995 at 0.709 JOD to 1 USD, so a JOD figure converts predictably for budgeting.

Card payments are settled by EDAS in the currency it charges in, so the amount that reaches your statement depends on your card issuer's conversion.

The rate card is not published

When the committee approves the schedule, the amounts replace every “to be confirmed” marker on this page and the registration link opens.

What you get

What a full registration is intended to cover.

Provisional. The list below is what the organisers intend to include and is subject to the programme and the catering contract being fixed. It is confirmed when the rates are published.

Included — provisional

  • Admission to all technical sessions, keynotes and the poster session across the three days
  • The conference booklet and access to the proceedings for papers in the programme
  • Lunch on each conference day, plus morning and afternoon breaks
  • The welcome reception on the opening evening
  • One place at the conference dinner
  • A certificate of attendance, and of presentation for presenting authors

Not included

  • Travel to Jordan and accommodation in Aqaba
  • Visa fees, where they apply — see the travel page for the Aqaba exemption
  • Excursions to Wadi Rum, Petra or the dive sites
  • IEEE membership itself, which is bought from IEEE and not through this conference

Delegates who arrive and leave through Aqaba are normally exempt from the visa fee. The conditions are on the travel page.

Remote participants

Every session is streamed and authors who cannot travel may present remotely. Whether a virtual registration is priced separately from an in-person one has not been decided.

Authors

One full author registration, per paper, by 5 April 2027.

These four rules are IEEE publication requirements rather than local policy. They are applied as written, and the consequence of missing them is the paper not appearing in IEEE Xplore.

One full author registration per paper
At least one author of each accepted paper must complete a full author registration — not a student attendee, one-day or workshop-only registration — by the author registration deadline. One full registration covers one paper. A second accepted paper by the same author requires the additional-paper fee.
Unregistered papers are withdrawn
A paper without a completed author registration by the deadline is removed from the programme and is not submitted to IEEE Xplore. This is an IEEE publication requirement, not a local rule, and it is applied without exception.
Papers must be presented
An accepted paper that appears in the final programme but is not presented by an author or an approved proxy is not published in IEEE Xplore. Presentation may be in person in Aqaba or remotely through the stream. Registration fees are not refunded for a no-show.
The registration must match the paper
The registering author is linked to the paper record in EDAS. Register from the account that holds the paper, or the link will not be made and the paper will be flagged as unregistered.

Student authors

A student rate exists, but a student registration does not by itself satisfy the author registration requirement at most IEEE conferences. Whether SEA 2027 accepts a student author registration for publication will be stated explicitly when the rates are published. Until then, plan for the full author rate.

The dates registration turns on.

How to register

Three steps, through EDAS.

  1. Create an EDAS account, or sign in to the one you have. Registration runs through the same system as submission, at edas.info. Authors must use the account that holds the paper — that is what links the registration to the paper record.
  2. Open the SEA 2027 registration form and choose your category. Select the band, the category that matches your status, and any add-ons. Members enter their IEEE membership number; students upload proof of full-time enrolment. The system checks both.
  3. Pay, and keep the receipt. Your registration is not complete until payment has cleared. EDAS issues the receipt and the invoice; download both, because most institutions will want them for reimbursement.

Payment routes

Credit or debit card
Handled inside EDAS, which processes conference payments through Stripe. The charge appears on the statement under the EDAS descriptor, and the receipt is issued immediately in EDAS.
Bank transfer or cash deposit
For delegates whose institution pays directly, or where card payment is not practical. The conference bank account details, the reference format and the deadline for cleared funds will be issued with the rates. All transfer charges are borne by the sender. Bank details are still to be issued.

Never send payment details by email, and never to an address other than the one published on this site. If a message asks you to pay a SEA 2027 fee anywhere else, forward it to info@ieeesea.net before you act on it.

The registration link is not live

The EDAS registration form opens once the conference is registered in EDAS and the rates are approved. Submission and registration use the same account, so creating it now costs nothing.

Draft policy — not yet in force

The schedule below is the draft the organising committee is working from. It is indicative and is not the policy until it is published with the rates. Nothing on this page creates an entitlement to a refund.

Author registrations

Author registrations are treated as a publication charge. Once the paper has been accepted into the programme and submitted to IEEE Xplore, the registration is not refundable, whatever the reason for withdrawal.

If the paper is withdrawn before the camera-ready deadline, the organisers intend to refund the fee less an administrative charge.

A visa refusal, evidenced with the refusal letter, is intended to be handled as a transfer to remote presentation rather than a refund. The paper is still published.

Transferring a registration to a colleague is intended to be permitted at any time before the conference, at no charge, for attendee registrations only. An author registration cannot be transferred to a different paper.

Cancellations must be made in writing to info@ieeesea.net. The date the email arrives is the date used. Refunds, where due, are returned by the route the payment was made on.

Visas

Invitation letters come after registration.

The organisers issue a letter confirming that you are registered and that your paper, if you have one, is in the programme. It is addressed to the embassy or consulate you name.

  1. Complete and pay for your registration first. Letters are issued only against a completed registration.
  2. Send the request to the registration address with your full name exactly as it appears in your passport, passport number, nationality, date of birth, institution, and your paper number if you are an author.
  3. Allow several weeks. Requests made close to the conference may not be answerable in time.

A letter is not a visa

An invitation letter is a supporting document. It is not a visa, it does not guarantee one, and the organisers have no standing in a visa decision. Check the requirements for your nationality early — some require prior approval and the lead time is measured in weeks.
